Protection of Personal Information (POPIA) Notice

1. Introduction & Responsible Party

R.K Projects & Maintenance ("we", "us", or "our") is committed to protecting your privacy and ensuring your personal information is processed lawfully, fairly, and transparently in accordance with the Protection of Personal Information Act (POPIA), Act No. 4 of 2013 of South Africa.

For the purposes of POPIA, the designated Responsible Party and Information Officer is Rajesh Kumol (Contact: 083 247 7084).

In line with the POPIA principle of data minimization (Condition 3: Purpose Specification), we only collect personal information that is strictly necessary to fulfill your quote request, enquiry, or service delivery:

• Telephone / Mobile Number: To contact you, arrange on-site measurements/assessments, or provide quotes via phone or WhatsApp.
• Email Address: To deliver formal written quotations, invoices, or project proposals.
• Physical / Site Address (if provided): To perform on-site renovation or building inspections.
• Project Requirements: Technical details regarding your building, ceiling, gate, or partitioning needs.

3. Purpose of Processing (Why We Need Your Data)

We process your personal information strictly for the following lawful business purposes:

• Responding to your specific quote requests and building/renovation enquiries.
• Arranging on-site consultations, structural measurements, and project timelines.
• Fulfilling contractual obligations and operational trade work.
• Direct communication with you regarding project updates.

We will never sell, rent, lease, or trade your personal details to third-party marketing companies, lead brokers, or unauthorized entities.

4. Information We Do NOT Collect

We do not collect special personal information (such as race, biometric information, religious beliefs, or health details) or any child personal data. We will also never ask for confidential banking passwords or credit card details over our website form.

5. Security Safeguards & Retention (Condition 7)

We maintain technical, physical, and organizational safeguards to prevent loss of, damage to, or unauthorized access to personal information. Digital submissions are transmitted securely via encrypted HTTPS (TLS), stored behind restricted access configurations, and access is strictly restricted to Rajesh Kumol and key operational personnel.

Personal information is retained only as long as necessary to complete your project, provide customer warranty support, or comply with statutory accounting requirements in South Africa, after which records are securely destroyed or permanently anonymized.

6. Your POPIA Rights as a Data Subject

Under Chapter 3 of POPIA, you have the following enforceable rights:

• Right of Access: You may request confirmation of whether we hold personal information about you and receive a copy of that information.
• Right to Rectification: You may request that we correct or complete any inaccurate or outdated information.
• Right to Object & Erasure: You may object to the processing of your personal information or request that we delete records where there is no statutory obligation for retention.
• Right to Lodge a Complaint: If you believe your personal information has been handled inappropriately, you have the right to lodge a complaint with the South African Information Regulator.
